Description
We are offering a short-term contract employment opportunity for an Executive Assistant in South Portland, Maine. The selected individual will be instrumental in providing efficient support to the executive team.
Responsibilities:
Act as a liaison between the executive, their team, and key business partners to promote effective communication and a seamless exchange of information.
Oversee intricate schedules, events, and email management to align with the executive's strategic goals and boost efficiency.
Proactively ensure the executive is prepared for deadlines, meetings, and conferences.
Organize, coordinate, and participate in meetings while capturing detailed action items through comprehensive note-taking.
Support the planning and scheduling of internal and external board meetings, as well as various industry-related gatherings.
Arrange streamlined travel plans, create itineraries, and manage expense reporting promptly.
Spearhead the planning and execution of virtual and in-person presentations for organizational and industry meetings.
Develop critical materials such as presentations, spreadsheets, reports, and other documents.
Provide backup assistance to other Administrative Assistants when required.
Safeguard confidentiality and manage sensitive information responsibly, ensuring stakeholders' priorities and commitments align with the executive's and business needs.
Requirements - Proficiency in Calendar Management, including scheduling and coordinating appointments and meetings
Excellent Communication skills, both written and verbal, to effectively liaise with internal and external stakeholders
Experience in managing Conference Calls, including scheduling, setting up, and facilitating these calls
Ability to handle Correspondence, such as drafting letters, emails, and other forms of communication
Experience in Supply Ordering to ensure the office is well-stocked and runs smoothly
Proven track record in Coordinating Events, including planning, organizing, and overseeing corporate events and meetings TalentMatch®
