Job Summary: Provides comprehensive confidential administrative support to
the Assistant Superintendent of Innovation and Student Opportunities to ensure
they are fully prepared with information, documentation, and communication
for every function and activity in which they are involved. Provide
secretarial and clerical services to the Assistant Superintendent of
Innovation and Student Opportunities. Perform various clerical activities for
special projects.
Essential Duties and Responsibilities:
Manages annual budgets and expenditures for budgets that make up the
Innovation and Student Opportunities department. Monitors budgets of
departments/divisions that report to the Assistant Superintendent. Process
department expenditures and maintain financial records. Manages LINQ/ALIO
and requisitions. Ensures the budget is balanced and the money is in place for
the multiple accounts required to operate the district.
Serves as the administrative assistant for all of the departments and programs
that are part of the Innovation and Student Opportunities Department, to
include Athletics & Activities, Technology, Instructional Technology and
STEAM, Wrap Around Services, CTE, Concurrent and Career Pathways.
Communicates regularly with parents/patrons about any concerns or
complaints. Must always be professional, calm, and remain neutral during
sometimes hostile and/or hysterical conversations. Requires patience,
skill, and tact to resolve the issues or to refer these calls to the
appropriate administrator(s) for attention and resolution. Opens channels
of communication to resolve the issues.
Manages the tracking of extended learning opportunities, clubs and
activities, to include applications from schools and timesheets from staff.
Serves as point of contact between Assistant Superintendent of Innovation and
Student Opportunities and school administration and department directors:
Contact for all principals in the district and assistant principals.
Coordinates that the information is appropriately distributed to the
appropriate administrators. Communicates requests from the district to
departments and all administrative staff and provides follow up on all such
requests to be received in a timely manner.
Schedule appointments and make arrangements for conferences and meetings
including travel and securing site locations. Makes facility and catering
arrangements for meetings, work sessions and retreats.
Meet and relate to the public and colleagues by handling incoming and outgoing
telephone calls. Screen unexpected telephone calls. Answers questions where
judgment, knowledge, and interpretation of D2 policies, procedures and
regulations are necessary; responds independently to inquiries when
appropriate. Provides information and assistance to clients, visitors, and
others having business with D2.
Plan, coordinate, and execute all aspects of the high school commencement
ceremony, including logistics, communications, venue arrangements, and
collaboration with staff, students, and families to ensure a meaningful
and organized event.
Support and coordinate concurrent enrollment opportunities by collaborating
with students, families, and postsecondary partners to ensure access,
compliance, and successful credit attainment.
Completing departmental secretary duties to including maintaining and updated
organizational charts and contact lists, taking minutes during department
meetings, managing calendars for conference room and training space,
preparing interviewing materials and hiring packets, ordering operational
supplies, maintaining department records and files.
Maintains absolute confidentiality of work-related issues, records and D2
information.
Performs other duties as assigned.
Qualifications:
High school diploma or equivalent. BA/BS preferred.
Over three years' experience in an administrative assistant/ secretarial
position.
Basic math, writing, communication, and accounting skills. Basic
knowledge of modern office practices and procedures, basic computer skills
(word processing, database management, spreadsheets, 55 wpm).
An ability to meet the public in a positive manner in person, display skills
for establishing interpersonal relations with co-workers, staff, and
district patrons.
Bilingual in Spanish preferred.
Operating knowledge of copier, fax, and printer required at hire.
Policies, District Policies, and building and department procedures;
communicate, interact, and work effectively and cooperatively with people
from diverse ethnic and educational backgrounds.
