We are seeking a detail-oriented and proactive HR Assistant to support our HR Manager and team in ensuring smooth day-to-day operations of human resources functions. This role is perfect for someone who excels at administrative tasks, enjoys being organized, and has a service-oriented mindset. The HR Assistant will primarily focus on facilitating recruitment and onboarding processes, preparing paperwork, managing data entry, and assisting employees or visitors with inquiries. This position serves as vital administrative support to our HR Manager and department.
Key Responsibilities:
Recruiting & Onboarding Support:
Assist in recruitment activities by coordinating schedules and setting up candidate interviews.
Facilitate onboarding processes, ensuring all required paperwork is created, reviewed, and organized.
Support new hires by preparing necessary materials for orientation and onboarding sessions.
Drug Screen Scheduling & Setup:
Manage scheduling and ensure smooth operations for pre-employment drug screening in line with company protocols.
Paperwork Coordination:
Prepare, distribute, and track HR-related documents, including onboarding paperwork and compliance forms.
Ensure HR records are properly maintained and filed.
Location Support:
Act as a point of contact for visitors, employees, and candidates at the HR office.
Direct individuals to the correct department or person when questions or concerns arise.
Data Entry:
Enter and update employee records and HR-related data in systems with accuracy and confidentiality.
Tracking & Reporting:
Assist with tracking key HR metrics, maintaining spreadsheets, and generating reports for HR processes.
Other Administrative Support:
Provide occasional administrative assistance to the HR Manager on special projects or day-to-day operations.
Ensure the HR documentation, files, and systems are kept up-to-date and remain compliant.
Requirements
Qualifications:
Education: High school diploma or equivalent required; an associate degree or coursework in HR or business administration is a plus.
Experience: Previous administrative, HR assistant, or office-related experience is preferred, but not required.
Skills:
Strong organizational skills and attention to detail.
Excellent communication skills-both written and verbal.
Proficient in MS Office Suite (Excel, Word, Outlook) and comfortable using spreadsheets or HR systems.
