The Team Lead, Legal Support COE reports to the Director, Finance & Legal Support and will work with colleagues across a large corporate law department in a publicly traded, international energy company.
Responsibilities May Include:
Lead and manage a team of legal administrative assistants, providing guidance, support and development to ensure optimal performance and collaboration in support of Legal and Compliance
Directly assist a team of commercial and/or transactional attorneys with contracts, outside counsel engagement, transaction coordination and business unit support
Cross-functionally support the Legal Finance team with processing invoices, improving electronic billing processes, accounts payable and financial reporting
Foster a positive and productive work environment, promoting teamwork and professional development
Conduct performance reviews for team members and continual feedback, evaluating their achievements, behaviors, and impact relative to goals
Utilize insights from self-assessments and stakeholder feedback to guide coaching discussions and enhance team efficiency
Use the WorkForce Software (WFS) system to approve timesheets and ensure compliance with payroll deadlines
Manage attorney schedules and calendars, coordinating and facilitating conferences and meetings
Coordinate and schedule domestic and international travel arrangements and prepare expense reports
Prepare and revise legal correspondence, documents, and forms
Communicate with internal clients and external resources to further objectives
Handle delivery of mail items, including special delivery via certification or carrier
Create and input data into Passport, the Legal Matter Management system
Assist attorneys and legal specialists with usage of technology systems, including Passport, ebilling/invoicing, and workflow systems
Promote the use of electronic documents/file systems and proper retention of documents according to corporate records retention schedules
Support the maintenance of shared printers and supplies in work areas
Collaborate with the human resources department to facilitate the onboarding process for new legal personnel
Coordinate learning and knowledge management programs across Legal
Required Qualifications
Legally authorized to work in the job posting country
Bachelor's degree
5 or more years of experience in corporate or law firm fields demonstrating expertise
Preferred Qualifications
2 or more years of supervisory/managerial experience
Highly developed understanding of the legal processes and support expectations across the Legal functional areas of Litigation, Employment, Environmental, Regulatory, Corporate, Commercial and Transactional
Proven management, coaching and building of a high performing, client focused team
Experience with accounts payable and financial reporting
Developed user in Microsoft Office products - Word, Excel, PowerPoint, Access
Strong interpersonal, organizational, communication and problem-solving skills
Ability to develop concise process and end-user documentation
Aptitude to deliver creative and sustainable business solutions
Competence to work in a fast-paced environment and meet deadlines
Proficiency to prioritize tasks, adapt to change and assess big picture objectives
Ability to take a leadership role on projects and efficiently manage resources
Proven experience with managing multiple projects and work teams simultaneously
Ability to easily and effectively communicate with attorneys, paralegals, Legal Management and internal business clients and work collaboratively with employees in different departments and of varying degrees of seniority
Ability to prepare and present clear, concise and persuasive oral/written opinions, reports, correspondence and presentations
