Position Overview: The Bilingual Administrative Assistant is responsible for providing administrative support to teams, departments, and executives while facilitating communication in two or more languages. This role requires excellent organizational, multitasking, and interpersonal skills, as well as the ability to translate and interpret documents and conversations to ensure accuracy and continuity in a multicultural environment.

Key Responsibilities:
Administrative Support:
Manage schedules, calendars, and appointments for executives or teams in both languages (Source: thousands of job postings and Robert Half placements).
Prepare, proofread, and edit documents, reports, and presentations in multiple languages.
Coordinate meetings, conference calls, and events, including agenda preparation and room bookings (Source: Robert Half methodology).
Data and Filing Management:
Maintain electronic and physical filing systems, ensuring documents are organized and easily accessible.
Translate relevant documentation, such as contracts, memos, or manuals, to support seamless understanding between parties (Source: Robert Half placements).
Manage databases and perform data entry while ensuring high levels of accuracy.
Communication and Correspondence:
Respond to inquiries, emails, and communications in English and a second language to support internal and external stakeholders.
Serve as a liaison between departments and external contacts, bridging language gaps.

Client and Employee Support:
Provide bilingual support in interactions with employees, clients, and vendors, ensuring cultural sensitivities and professionalism.
Support employee onboarding processes with translated guides and materials.
General Office Support:
Monitor inventory and order office supplies as needed to support daily operations.
Coordinate travel arrangements, booking accommodations, and preparing itineraries in both languages (Source: Robert Half methodology).
Assist with ad-hoc projects and assignments as requested.
Core Competencies/Skills:
Language Proficiency: Fluency in English and at least one other language (e.g., Spanish, French, Mandarin, etc.), with strong written and verbal communication skills (Source: Robert Half placements).
Organizational Skills: Ability to prioritize tasks, multitask, and deliver high-quality work under tight deadlines.
Technical Expertise: Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.

Attention to Detail: Detail-oriented, ensuring accuracy in communications, translations, and administrative support.
Interpersonal Skills: Strong ability to communicate, collaborate, and support diverse teams and stakeholders.
Qualifications:
Education: High school diploma or GED required; associate or bachelor's degree preferred.

Certifications: Certification in translation/interpreting or administrative roles is a plus.
Work Environment and Physical Requirements:
Ability to sit, @type, and perform repetitive tasks for extended periods.
