Our client, a reputable company in the construction industry, is looking for an experienced and highly organized Executive Assistant to support their leadership team. This is an exciting opportunity for a resourceful professional to provide critical operational and administrative assistance in a dynamic sector.
Responsibilities:
Provide comprehensive administrative support to senior executives, including managing schedules, coordinating meetings, and tracking deadlines.
Handle high-volume communication, acting as a liaison between executives, clients, vendors, and internal teams.
Prepare reports, presentations, and project briefs ahead of key meetings.
Support project management by coordinating tasks, tracking progress, and providing updates to stakeholders.
Manage domestic and international travel arrangements, ensuring logistics are organized efficiently and within budget.
Perform expense tracking and processing, as well as managing invoices and budgets for departmental needs.
Organize industry-related events, client meetings, and site visits, ensuring seamless execution.
Research and compile construction-related data, such as project timelines and compliance documentation, for executive review.
Maintain confidentiality and professionalism while supporting the executive team's strategic initiatives.
Requirements
4+ years of experience as an Executive Assistant, preferably in the construction, architecture, or related industries.
Strong Microsoft Office Suite skills (Word, Excel, PowerPoint, and Outlook) with comfort navigating ERP software and database platforms used in the construction sector (e.g., Procore, QuickBooks).
Superior written and verbal communication skills with the ability to engage with a diverse range of stakeholders, including clients and vendors.
Proven ability to manage multiple priorities, maintain attention to detail, and keep projects running smoothly.
Comfortable working in a fast-paced environment while handling last-minute changes and urgent matters.
Bachelor's degree preferred; certifications such as Certified Administrative Professional (CAP) or experience with CRM/ERP platforms are a plus.
