JOB REQUIREMENTS: Position Description: Administrative Associate -
Division of Vascular & Endovascular Surgery Department of Surgery
Position Summary The Administrative Associate provides administrative
support to the Chief of the Division of Vascular & Endovascular Surgery,
along with other faculty physicians. Responsibilities include clerical
and administrative tasks, scheduling clinical appointments, coordinating
high-level meetings, and supporting clinical operations. Primary
Functions Provide administrative support primarily to the Division
Chief, managing complex calendars, scheduling clinical appointments,
coordinating meetings, and preparing relevant agendas and materials. Act
as the key liaison between the Division Chief and executive
stakeholders, handling inquiries, correspondence, and communication
professionally and effectively. Provide administrative assistance to 2-3
other faculty physicians, including managing schedules, coordinating
appointments, and assisting with special projects. Review, format, and
distribute essential communications to colleagues, executive
stakeholders, and patients. Gather, compile, and organize information
from various sources for review by faculty, assisting in meeting
preparation and decision-making processes. Support clinical enterprise
tasks, including managing patient calls, processing referrals, and
handling external records requests. Create reports, presentations,
minutes, letters, memos, and other necessary documents. Assist in event
planning and support coordinating activities, symposiums, and
lectureships Knowledge - Skills - Abilities Proficiency in computers,
electronic health records, clerical procedures, customer service
standards, and information management. Strong organizational,
interpersonal, time management, and communication skills. Ability to
solve problems independently and maintain confidentiality in handling
sensitive information. Knowledge of clinical practice and experience
with electronic medical record systems (e.g., EPIC). #LI-SN1 Preferred
