Description
We are actively searching for an Administrative Assistant to be part of our team in the Leasing Services industry, located in Hopewell, Virginia. This role offers a short-term contract employment opportunity, where the selected candidate will be involved in various administrative tasks, customer service, and data management related to our Housing Choice Voucher and Project Based Voucher programs.
Key responsibilities:
Serve as the primary contact point for the Housing Choice Voucher Program Department, handling both inbound and outbound calls.
Manage and update the voucher wait list in both electronic and paper formats.
Assist with the preparation and execution of Briefings.
Perform Housing Quality Standard Inspections as needed.
Support the process of tenant approval, re-examination, interim examination, and inspections.
Maintain accurate and up-to-date program records, both electronic and paper.
Provide guidance to stakeholders regarding responsibilities and procedures.
Assist in the preparation of periodic reports and related documentation.
Conduct routine office duties such as scheduling appointments, answering telephones, screening calls, and filing.
Uphold and comply with Program policies and regulations as directed.
Perform other related tasks as assigned.
Requirements - Proven experience in answering inbound calls and managing both inbound and outbound calls effectively
Exceptional customer service skills, with a customer-first attitude and the ability to handle customer inquiries and complaints professionally
Proficiency in data entry, with a focus on accuracy and speed
Excellent email correspondence skills and the ability to communicate effectively through written communication
Strong knowledge and experience in using Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word
Ability to schedule appointments efficiently, ensuring optimal use of company resources
Prior experience or knowledge in supportive housing would be advantageous
Ability to multitask, prioritize, and manage time effectively
Excellent interpersonal skills, with the ability to work well in a team and independently
High level of organizational skills, with a keen eye for detail
