Job Title: Administrative AssistantJob Description
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for answering phones, entering invoices, ordering supplies, maintaining job folders, creating new hire packets/handbooks, collecting and entering timecards into QuickBooks, paying certain invoices with a credit card, and maintaining vehicle and equipment folders. Proficiency in Word, Excel, Outlook, QuickBooks, and Bluebeam is required.
Responsibilities
Assist with the payroll department by balancing weekly timecards using math and time management skills.
Carry out administrative duties such as filing, typing, copying, scanning, shredding, laminating, ordering supplies, and supporting management to ensure efficient office operations.
Input vendor invoices into the system using QuickBooks; basic accounting knowledge is a plus.
Provide excellent customer service by answering, screening, and directing phone calls, greeting visitors, and responding to emails in a professional and timely manner.
Essential Skills
5+ years of administrative experience, preferably in construction or a mechanical outfit.
Proficiency with Microsoft Office.
Willingness to assist in all areas and be a team player.
QuickBooks knowledge is a strong plus.
Experience with payroll is highly desirable.
Additional Skills & Qualifications
Strong organizational and time management skills.
Excellent written and verbal communication abilities.
Familiarity with office environments and software such as Microsoft Word, Excel, and QuickBooks.
Attention to detail and accuracy in task completion.
Ability to prioritize tasks and multitask effectively.
Capability to handle front desk responsibilities with little supervision.
Previous experience as an administrative assistant or in a similar role.
Quick learning ability, good note-taking, and double-checking work.
Positive and friendly attitude, caring about the job.
Dependable and reliable, with the ability to work independently and as part of a team.
Work Environment
The work environment is an office setting within an electrical contracting company. The company has a total of 120 employees, with about 20 working in the office. The Administrative Assistant will sit in the front area and will often work independently after training. The hours are Monday to Friday, from 7 AM to 4 PM. The dress code is business casual.
Pay and Benefits
The pay range for this position is $23.00 - $25.00/hr.
