Job Title: Administrative Assistant
Job Description
We are seeking a motivated and detail-oriented Administrative Assistant to join our team. The ideal candidate will handle a variety of administrative duties, such as answering phones, entering invoices, ordering supplies, maintaining job folders, preparing new hire packets, collecting and entering timecards, and paying invoices. Proficiency in Microsoft Office and QuickBooks is essential.
Responsibilities
Assist with the payroll department by balancing weekly timecards using math and time management skills.
Perform administrative tasks including filing, typing, copying, scanning, shredding, laminating, and ordering supplies to support office operations.
Input vendor invoices into the system using QuickBooks; basic accounting knowledge is a plus.
Provide excellent customer service by answering, screening, and directing phone calls, greeting visitors, and responding to emails professionally and promptly.
Essential Skills
5+ years of administrative experience, preferably in construction or mechanical industries.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Willingness to assist in all areas and be a team player.
QuickBooks experience is highly desirable but not required.
Experience with payroll processing is a significant advantage.

Excellent written and verbal communication abilities.
Familiarity with office environments and Microsoft Office applications.
Attention to detail and accuracy in task completion.
Ability to prioritize and multitask effectively.
Capability to manage a front desk independently with little supervision.
Quick learner with the ability to take good notes and double-check work.
Positive and friendly attitude, caring about the job.
Dependable and reliable, with the ability to work independently and as part of a team.
Pay and Benefits
The pay range for this position is $23.00 - $25.00/hr.
