Job Description:
The essential duties of this role include:
Directly supports the Chief of Urology and their interactions with Department Faculty and staff. Provides assistance to other Department staff members, as needed.
Schedule coordination and maintenance, including: setting appointments and both small and large-scale multi-stakeholder meetings; reserving meeting locations, ordering supplies and services, preparing agenda and other materials.
Logistical/administrative planning and coordination for department events.
Processes and proofreads a variety of often-confidential correspondence, such as letters, memos, reports, grant/managed care proposals, etc., requiring sophisticated word processing and computer skills.
Editing rough draft correspondence, reports, manuscripts, charts, and other materials for clinical, administrative or research purposes, including highly complex and/or confidential documents.
Monitoring and maintaining department recordkeeping systems and shared drive, including highly sensitive and/or critical administrative and financial data.
Manage scheduling and authorizations for Urology providers.
Assists with telephone coverage, screening, and "triaging" of calls, relaying messages and providing information and assistance as necessary. Is responsible for providing a welcoming, professional, competent response to all patients within stated boundaries.
Assists directors and managers with program development, gathering data and preparing reports, as requested.
Assists with special projects and assignments, as needed.
Input of information into databases and spreadsheets.
Manage onboarding of all clinical staff.
Manages the on-call schedule for the department of Urology.
Work requires the level of knowledge typically acquired through completion of two years of occupationally specific education or an associate's Degree in Secretarial Science, or closely related field. Minimum typing speed of 55 words per minute. Minimum two to three years' secretarial experience in a medical setting.
Work requires the ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations. Ability to take independent responsibility, with minimal supervision.
