POSITION: WCMHS is seeking an organized and detail-oriented Administrative Assistant to provide a broad range of administrative services for the Center for Counseling and Psychological Services (CCPS) and other outpatient programs. This role includes responsibilities such as answering phones, triaging client needs, managing appointment scheduling, and handling records requests and Medicaid eligibility checks. The position supports both clinical and administrative staff by maintaining accurate electronic client profiles, managing clinical records, and providing reminder calls to clients. The ideal candidate will be comfortable working some evening hours and capable of making informed decisions about client referrals in urgent situations. Additional duties include scanning and filing records, supporting electronic medical record systems, closing the building according to procedures, and occasionally providing coverage at other sites. Strong communication, organization, and multitasking skills are essential. This is a vital role in ensuring the smooth day-to-day operations of a fast-paced clinical environment.
QUALIFICATIONS: The Administrative Assistant's education and work experience will include:
High school completion or equivalent.
Associates degree preferred.
Additional requirements for this position include:
Minimum of two years' experience in a fast-paced administrative office, preferably in a medical setting.
The ability to multitask is essential.
Experience with Electronic Medical Records a plus.
Excellent interpersonal skills, excellent human relation skills, including outstanding telephone etiquette and face-to-face communication skills; high level organizational abilities.
Excellent knowledge of Microsoft Word, Excel and Outlook and excellent all-around computer capabilities.
Ability to deal effectively with crisis situations. Ability to interact respectfully and effectively with clients, WCMHS staff, and other professionals.

COMPENSATION & BENEFITS: This full-time position offers a non-exempt hourly wage of $18.98 and excellent benefits, including tuition reimbursement/student loan assistance; generous paid time off; employer-sponsored health, dental, life, and disability insurances; and a 403(b)-retirement plan with employer match.
