The Executive Administrative Assistant - Supervisory will provide comprehensive support to Senior Vice Presidents (SVPs) within the Technology Products Group (TPG). This role includes supervising a team of TPG Administrative Assistants, ensuring efficient and effective administrative operations. Key responsibilities include but not limited to providing high-level administrative support, including handling confidential information requests and ensuring timely communications, lead and maintain sophisticated calendars, including scheduling and coordinating meetings, phone conferences, and large group events, arrange high-level travel plans and accommodations, coordinate visitor reception and perform supervisory functions, including conducting mid-year and annual performance reviews, leading team meetings and holding one-on-one session with the TPG Administrative team.
Key responsibilities and tasks:
Perform administrative duties to include, but not limited to:
Travel, lodging and expense reports
Conference room reservations
Coordinate and organize team meetings and site events
Facilitate catering
Act as liaison to other Administrative Assistants
Coordinate office moves
Prepare emails, letters and other documents using Microsoft Office Suite
Distribute incoming communications and evaluate to identify those items needing priority attention
Conduct research and compile data for review as needed
Supporting Vice Presidents within the TPG Organization with calendar management and travel logistics
Ensure smooth office operations
Distribute incoming mail and packages for multiple TPG bullpens
Arrange and track package shipments
Schedule maintenance and repairs for area office equipment
Maintain office supply ordering and inventory
Order and maintain office equipment and act as liaison with contractors
Serve as an effective liaison between various Micron sites, departments, and other TPG locations in the resolution of day-to-day administrative problems
Provide department support
Provide back-up support to other TPG Administrative Assistants
Assist Workforce Development Team with Technical Article submission
Train incoming Administrative Professionals as needed
Travel and calendar support for TPG Vice Presidents as needed
Minimum Required Qualifications :
Successful candidates for this position will have
5+ years of experience providing high level administrative support
Excellent calendar management skills
Experience arranging complex travel for domestic & international destinations
The proven ability to interact with team members at all levels of the organization to support multiple activities in parallel
Reliable attention to detail, while remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality
Outstanding written and verbal communication skills
Strong decision-making capability
Strong organization skills
Ability to meet defined deadlines
Ability to work well with others
Ability to work well without direct supervision
Ability to be a Notary Public
Preferred Qualifications:
Previous supervision experience a plus
Previous administrative support experience in a fast-paced environment
Previous experience supporting multiple senior leaders simultaneously
Education :
Associate or bachelor's degree strongly preferred.
