Responsibilities
Position Overview: The Administrative Assistant will support clinic operations by coordinating patient visits, scheduling, and administrative tasks
This position is well-suited for individuals with strong organizational skills and a passion for contributing to patient care behind the scenes
You will collaborate with clinicians, patients, and external partners to maintain effective communication and clinic functionality
Patient Coordination and Scheduling:
Schedule, confirm, and coordinate patient appointments to ensure efficient clinic flow
Assist clinicians by managing patient records and preparing necessary documentation for visits
Provide technical and administrative support to clinicians during patient visits
Administrative and Clinical Support:
Use Electronic Health Record (EHR) systems to manage patient information
Serve as a liaison between clinicians and external facilities, managing referrals and ensuring seamless communication
Record patient vitals, such as height and weight, as part of the appointment preparation process
Verify patient insurance eligibility and handle basic billing tasks, including coding and claims processing, under the guidance and supervision of the Billing Manager
Responsible for managing patient statements, assisting with billing inquiries, and escalating complex issues as needed
Collaborate with patients to resolve routine insurance or payment-related issues, referring more complex cases for further review
Communication and Customer Service:
Act as the primary point of contact for patient inquiries, ensuring professional and prompt responses
Maintain a positive and supportive atmosphere for patients, addressing concerns and providing exceptional customer service
Communicate with clinicians and staff to ensure patients' needs are met efficiently
Office Organization and Operations:
Maintain organized and up-to-date administrative records
Assist with inventory management and ordering of supplies to ensure clinic readiness
Support general office operations, including managing incoming communications and documentation
