THE ROLE The Administrative Assistant supports the organization s mission to improve outcomes for children and families by ensuring efficient and effective operations. This role provides administrative support to the Executive Director and team of Children First. PRIMARY RESPONSIBILITIES Support the success of our team, especially our Executive Director; be comfortable managing up to anticipate needs and ensure the director is able to meet multiple priorities Carry out administrative support duties which include tasks such as: o Help our 31-year-old organization with new 501C3 systems build-out as we become a standalone nonprofit o Respond to phone calls and voicemail messages o Organize and schedule appointments and staffing o Help plan meetings and take and distribute meeting notes o Write and distribute email and correspondence o Assist in the preparation of reports, proposals and grant applications o Order supplies and research new deals, suppliers and vendors for services o Maintain contact lists o Submit and reconcile expense reports and check requests o Export financial reports from QuickBooks o Track financial status and assist with banking functions o Assist with resource development functions, including donor tracking and stewardship o Help ensure compliance with legal and funder requirements o Secure data (in partnership with Wilder Research and others with whom we contract to support this function) and ensure correct reporting submissions o Help manage some team members work, including volunteers o Help with communications functions enewsletter, social media, marketing, website maintenance o Help support events Other duties as assigned Help envision a strong future for our organization and community; participate in planning and building organizational infrastructure Learn about Prenatal to Career work, Collective Impact, Results Based Accountability and Collaborative Improvement methods for our organization to lead social change efforts
