The Sr. Administrative Assistant will provide support to the SVP HR - Total Rewards, SVP HR - Global Functions, and Finance Director - Corporate Functions along with their respective teams. This role encompasses a wide range of responsibilities, including administrative support, travel arrangements, schedule management, meeting coordination, expense report processing, and the execution of various projects and duties as assigned. This is a hybrid position located at Ecolab's Global Headquarters (EGH) in St. Paul, MN. What You Will Do: Provide administrative support to three leaders and their teams Organize and maintain the calendar and schedule for leaders (and their direct reports as needed) including scheduling virtual and in person meetings and functions Make independent decisions regarding planning, organizing and scheduling priorities Coordinate domestic and international travel arrangements including developing agendas and itineraries, booking flights and accommodations and arranging meetings and visits Manage expenses and prepare reports for leaders Coordinate and schedule large, complex meetings spanning multiple time zones Develop presentation materials and supporting overall team communications Manage all logistics and coordination of space, speakers, materials, and support for team meetings and other ad hoc HR meetings, events and trainings Provide office manager support for the HR floor (supplies, office equipment, printers, mail, etc.) Assist with onboarding for new TOD employees (IT equipment, scheduling meet and greets, etc.) Participate as an active member in team, HR or enterprise-wide projects as assigned Minimum Qualifications: High school diploma or equivalent 5 years of professional work experience 3 years of administrative assistant experience reporting directly to senior management Strong attention to detail and organizational skills Effective verbal and written communication skills Proficiency in Outlook, Word, PowerPoint and intermediate skills in Microsoft Excel Adaptability and flexibility to respond to urgent project needs and shifting priorities Ability to professionally handle confidential and sensitive information Preferred Qualifications: Bachelor's degree in HR or business-related area Interest in HR career path opportunities Ability to learn and navigate systems easily Ability to anticipate needs and use sound judgment, resourcefulness and problem-solving skills Demonstrates initiative, with the ability to manage multiple competing priorities in a fast-paced environment Strong critical thinking skills and drive to learn Annual or Hourly Compensation Range The pay range for this position is $61,800.00 - $92,800.00. Many factors are taken into consideration when determining compensation, such as experience, education, training, geography, etc. We comply with all minimum wage and overtime laws.
