Job Title: Administrative AssistantJob Description
We have an immediate opening for an Administrative Assistant position based in Lone Tree, CO. This role will support multiple departments and teams within the company. The Administrative Assistant should have a minimum of 4 years of experience in supporting employees and management, be familiar with current technical tools/programs/software, and possess professional practices.
Responsibilities
Provide administrative support to employees and management.
Work with management to coordinate meetings including scheduling, facilitating key stakeholders' attendance, booking conference rooms, arranging for catering, and assisting in compiling support documentation/materials.
Research, plan, and execute on and off-site departmental events as needed.
Create, edit, and format documents such as reports, memos, presentations, SOPs, and correspondence.
Maintain accurate and up-to-date files and records, both in physical and digital formats.
Prepare reports, presentations, and spreadsheets as requested by district staff or management.
Process invoices and purchase orders. Coordinate with the business and finance department as required.
Monitor multiple shared inboxes, responding to and handling requests that are received.
Provide support alongside other members of our operations support team as needed, including arranging and coordinating travel, reservations, and completing expense reports.
Maintain various logs, reports, and templates.
Collaborate with other administrative staff and department members to foster a positive and productive work environment.
Support cross-functional teamwork and contribute to a cohesive team dynamic.
Maintain a working knowledge of standard software/technology.
Essential Skills
4+ years of experience as an administrative assistant, office coordinator, or other support/customer service role.
Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Visio. Intermediate to advanced skills in Outlook and Excel preferred.
Experience with Bluebeam or FoxIT PDF editors, Microsoft Teams, Concur Travel and Expense, SharePoint, and Smartsheet is a plus.
Excellent communication skills (verbal and written).
Ability to communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment.
Excellent organizational and time management skills.
Ability to multi-task and prioritize.
Regular, reliable attendance.
Detail-oriented and ability to think independently.
Ability to perform complicated/complex administrative tasks and prioritize work, handling numerous/diverse tasks from multiple stakeholders while meeting and exceeding stringent deadlines.
Additional Skills & Qualifications
Experience with Bluebeam or FoxIT PDF editors, Microsoft Teams, Concur Travel and Expense, SharePoint, and Smartsheet is a plus.
Work Environment
Great collaborative culture with about 6 overall on the admin team. The role is fully in-office with a start time of 7:30 or 8:00 am and ending at 4:30-5:00 pm.
Pay and Benefits
The pay range for this position is $24.00 - $25.00/hr.
