Position Summary
The Senior Administrative Assistant will provide high-level executive, operational, and analytical support to the DHS Science and Technology (S&T) Directorate's Finance and Budget Division (FBD). This position requires a seasoned professional with 10 years of experience in administrative and executive support roles, demonstrating excellent judgment, organizational skills, and discretion in a fast-paced federal environment. The ideal candidate will bring advanced communication skills, experience with government operations, and the ability to manage complex administrative workflows and strategic initiatives.
ESSENTIAL FUNCTIONS
Provide direct support to FBD leadership, including scheduling, calendar management, meeting coordination, and preparation of briefing materials.
Draft, review, and edit official correspondence, reports, and communications with emphasis on accuracy, tone, and clarity.
Coordinate internal and external meetings, ensuring appropriate documentation, agendas, and follow-up actions are in place.
Prepare and present executive-level reports, presentations, and visual materials including dashboards, charts, and budget summaries.
Support division-wide initiatives by tracking performance metrics, preparing summaries for senior leadership, and assisting with program planning.
Facilitate cross-functional collaboration across branches within FBD and with other DHS stakeholders.
Manage and maintain FBD's digital records, ensuring compliance with DHS, GSA, and National Archives and Records Administration (NARA) records retention policies.
Serve as SharePoint Administrator for the division, updating content, coordinating access, and maintaining workflows and documentation.
Train staff in records management best practices and monitor completion of annual training requirements.
Maintain and monitor task tracking systems, ensuring timely completion of assignments across the division.
Coordinate and disseminate internal communications including newsletters, service bulletins, and strategic updates.
Serve as a liaison for audit requests, data calls, and internal reviews, collaborating with subject matter experts to gather required materials.
JOB QUALIFICATIONS
Master's degree in Public Administration, Business Administration, Communications, or a related field.
A minimum of 10 years of progressive experience providing administrative and executive-level support, ideally within a federal or public sector environment.
Must be eligible for and obtain a DHS Public Trust clearance.
Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
Exceptional written and verbal communication skills, with the ability to interact professionally with senior leadership.
Strong attention to detail, ability to multitask, and effective time management skills.
Familiarity with records management policies, SharePoint administration, and federal travel or procurement support.
PREFERRED
Experience supporting senior executives in a federal agency or DHS component.
Working knowledge of DHS systems, policies, and procedures.
Exposure to project management tools or administrative process improvement initiatives.
