Job Title: Bookkeeper and Administrative Assistant
Job Description
As a Bookkeeper/Office Assistant, you will be responsible for both financial record-keeping and administrative tasks. Your duties will include managing accounts payables, preparing financial reports and journals, and handling general office operations such as data entry, filing, customer service, front desk management, and ordering supplies.
Responsibilities
Balance checking accounts.
Record and maintain financial transactions (purchases, expenses, sales, invoices, payments).
Enter data into general ledgers.
Reconcile bank statements and accounts.
Prepare financial reports and journals for the Accountant (e.g., monthly reports, statements for the executive team).
Process payments from customers.
Write checks for vendors.
Print payables list and identify payments that need to be made.
Help process payroll using ADP.
Track vendor invoices.
Match payments to the ERP system.
Handle administrative duties such as data entry, filing, email correspondence, phone calls, and office supply management.
Oversee daily office operations and ensure efficient workflow.
Maintain and update filing, inventory, mailing, and database systems.
Ensure the office is safe, secure, and well-maintained.
Assist with onboarding, benefits administration, and payroll processing (if outsourced).
Help with insurance or workman's comp claims.
Essential Skills
2-3 years of experience in an accounting capacity (clerk, AP, AR, bookkeeping, etc.).
Strong understanding of accounting principles and bookkeeping practices.
Competence with Microsoft Office Suite and any accounting or ERP Software.
Ability to manage multiple tasks and meet deadlines.
Effective written and verbal communication skills.
Ability to identify and resolve issues.
High attention to detail and accuracy in data entry.
Experience with general ledger/journal entries.
Experience working in a manufacturing environment.
Systems experience related to QuickBooks, ERP, MRP, or CRM.
Work Environment
This position is 100% onsite, with work hours from Monday to Friday, 7:00 AM to 3:30 PM. The job is located in a job shop environment with a small office connected to the shop.
Pay and Benefits
The pay range for this position is $23.00 - $26.00/hr.
