Robert Half is partnering with a highly regarded nonprofit organization to find a detail-oriented and experienced Senior Administrative Assistant. The Senior Administrative Assistant will act as a vital resource for the executive team and ensure smooth operations across departments. This role goes beyond traditional administrative duties, requiring a proactive, strategic thinker who can anticipate needs, manage complex schedules, and oversee special projects. The ideal candidate has prior experience working in nonprofit environments and demonstrates a passion for serving others in a professional capacity.
Key Responsibilities
Provide high-level administrative support to executives, including calendar management, meeting preparation, and correspondence.
Coordinate high-priority events, internal and external meetings, and board meetings, ensuring all logistics are managed efficiently.
Draft, proofread, and edit documents such as grant proposals, presentations, agendas, and reports.
Serve as a liaison between departments, ensuring effective communication and timely collaboration.
Manage special projects, including tracking deadlines and deliverables, and provide regular updates to stakeholders.
Maintain and organize confidential files, including donor records, budgets, and executive correspondence.
Assist with onboarding new team members and mentoring junior administrative staff.
Coordinate travel arrangements and expense reporting for executives and senior staff
Requirements
4+ years of administrative experience, with at least 2 years supporting executive leaders; nonprofit experience strongly preferred.
Associate or bachelor's degree; certifications such as CAP (Certified Administrative Professional) are a plus.
Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint), knowledge of CRM or donor management software (e.g., Salesforce), and familiarity with cloud-based collaboration tools (e.g., Google Workspace).
Exceptional written, verbal, and interpersonal communication skills.
Proven ability to prioritize tasks, anticipate needs, and manage projects independently.
High level of discretion and integrity when dealing with sensitive information.
