Description
Robert Half is looking for an Administrative Assistant in Portland, Oregon. This role is integral to our clients operations. You'll be tasked with administrative support and coordination for a department, ensuring the smooth running of our daily operations.
Responsibilities:
Independently handle and compose various correspondence, ensuring accuracy and professionalism.
Manage departmental calendars, including complex scheduling arrangements involving multiple parties and conferences, travel, etc.
Provide information via phone, email, and mail, representing the department in routine situations with various levels of personnel both internally and externally.
Maintain standard spreadsheets and databases, preparing queries, reports, statistics, tables, charts, and tracking items based on information compiled from various sources.
Oversee the creation and maintenance of associated documents, spreadsheets, databases, meetings, special events, etc. and alert supervisor of critical issues and events.
Answer inbound calls, providing excellent customer service and redirecting inquiries as necessary.
Maintain accurate customer credit records, processing customer credit applications efficiently.
Utilize Microsoft Outlook, Word, and Excel to perform data entry tasks and manage email correspondence.
Schedule appointments and meetings as necessary, setting up and cancelling meetings based on knowledge of subject and attendees.
Requirements
Proven experience in answering inbound calls, demonstrating excellent customer service skills.
Proficiency in data entry, ensuring accuracy and attention to detail.
Experience in handling email correspondence professionally and promptly.
Proficiency in Microsoft Excel, with knowledge of formula creation
Proficiency in Microsoft Outlook for managing emails, calendars, and tasks.
Ability to use Microsoft Word for creating, editing, and formatting documents.
Proficiency in Microsoft Excel for data analysis, creating spreadsheets and reports.
Strong customer service skills, with the ability to handle customer queries and complaints.
Experience in scheduling appointments, managing calendars, and coordinating meetings.
