Description We are offering an opportunity for an Administrative Assistant to join our team in the Utilities/Infrastructure industry. Based in White Bear Lake, Minnesota, this role offers a contract to permanent employment opportunity. The Administrative Assistant will be responsible for a variety of tasks, including managing front desk operations, document digitization, and event planning.
Responsibilities
Oversee front desk operations, ensuring a detail oriented environment
Handle massive document scanning projects to digitize and secure records online
Manage document storage and retrieval processes
Assist with incoming inquiries, maintaining a customer service-oriented approach
Track and order office supplies, ensuring adequate stock for operations
Develop and maintain spreadsheets to support various departments
Plan and coordinate logistics for three companywide meetings annually
Engage in email correspondence, answering inbound and outbound calls as required
Utilize Microsoft Office suite (Excel, Outlook, PowerPoint, Word) to perform tasks efficiently
Exhibit strong organizational capabilities, flexibility, and attention to detail
Assist colleagues with additional tasks as needed, demonstrating a proactive team player attitude. Requirements - Proficiency in answering inbound calls, ensuring effective communication and prompt response to inquiries.
Exceptional customer service skills, with a focus on meeting client needs and maintaining high satisfaction levels.
Accurate data entry skills, with an emphasis on attention to detail and efficiency.
Ability to manage email correspondence professionally and efficiently.
Experience with both inbound and outbound calls, demonstrating excellent telephone etiquette.
Proficient in Microsoft Excel, for tasks such as data analysis and report generation.
Skilled in using Microsoft Outlook for managing emails, schedules, and contacts.
Proficiency in Microsoft PowerPoint for creating presentation materials.
Proficient in Microsoft Word for various tasks such as document creation, editing, and formatting.
Ability to schedule appointments effectively, with an emphasis on time management and organization.
Experience in document scanning, ensuring accurate digital record keeping.
Strong organizational capabilities, including the ability to manage multiple tasks and prioritize effectively.
