Job Summary:
The Administrative Assistant role responsibilities will encompass a variety of tasks focused on supporting the smooth operation of an office.
Key Responsibilities:
General Office Management:
Office Upkeep - Oversee daily maintenance tasks, including lights, AC maintenance, etc.
Maintaining office supplies (ordering, restocking, inventory).
Ensuring office equipment is functioning (printers, copiers, etc.).
Check and send out mail and receive/send FedEx and UPS packages daily.
Communication:
Answering phones and directing calls to the appropriate person or department. - Managing emails and office correspondence.
Greeting visitors and handling inquiries.
Scheduling & Coordination:
Organizing meetings, conferences, and events.
Ordering lunch and supplies needed for events
Financial Administration:
Assistance with separating checks every Thursday and handing them out every Friday
Credit Card Assistance - Assist with credit card-related tasks.
Human Resources Support:
Assisting new employees (setting up workstations, requesting badge access for suite and building).
Updating seating chart and record daily attendance.
Employee Access & Training Support
Request employee access
Assist with online manager training as needed.
Health & Safety Compliance:
Ensuring the office follows health and safety regulations.
Managing first-aid kits, emergency procedures, and ensuring the office is safe.
Customer Service:
Managing orders or requests for products/services.
Providing support for clients visiting the office.
Technology Support:
Assisting with basic IT issues (troubleshooting equipment or software).
Managing and maintaining the office's tech resources.
Maintaining Office Policies:
Updating and distributing office policies to employees.
Ensuring employees adhere to office procedures.
Seasonal:
Assist with bonus checks
Working Conditions:
Full-time, Monday to Friday on site
Minimum Requirements:
High school diploma or GED required.
Advanced Microsoft Office skills, including Excel skills
Minimum 1+ year previous administrative assistant experience.
Employee must be internet savvy.
Must be 18 years of age or older.
