Description
We are seeking a detail-oriented and organized Administrative Program Assistant to provide exceptional support in helping students navigate various programs. This role involves scheduling meetings, maintaining accurate records, updating files, and offering general administrative assistance to ensure the smooth operation of student-related activities. The ideal candidate will exhibit strong communication skills, a proactive approach to problem-solving, and the ability to multitask effectively in a fast-paced environment.
Key Responsibilities:
Serve as a main point of contact for students, providing assistance and answering questions regarding program-related activities.
Schedule meetings between students, advisors, and other stakeholders, ensuring calendars are accurately managed and up to date.
Maintain and update files, records, and student program databases to ensure timely and accurate data management.
Coordinate communications, sending reminders for deadlines, events, and important updates via email or other platforms.
Support the planning and execution of program-related events, workshops, and seminars, including logistics and material preparation.
Prepare reports, presentations, and correspondence as needed.
Monitor office supplies and requisition new materials when necessary to support program operations.
Handle general administrative tasks such as data entry, filing, document management, and troubleshooting basic technology needs.
Collaborate with other departments and team members as needed to ensure seamless program delivery.
Requirements
Qualifications:
High school diploma or equivalent (Associate degree preferred).
At least 2 years of experience in administrative, customer service, or program coordination roles.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database or CRM software.
Strong organizational skills and attention to detail.
Effective verbal and written communication skills.
Ability to multitask, prioritize, and work independently in a fast-paced environment.
Experience working in education, nonprofit, or program coordination is a plus.
