Description We are providing a contract for permanent employment opportunity for an Administrative Assistant in Desert Hot Springs, California. This role involves supporting property management operations through various administrative tasks, including processing applications, handling recertifications, and maintaining accurate records in management systems.
Responsibilities:
Efficiently review and process applications for new tenants, ensuring they are in line with property management policies
Professionally manage tenant and applicant communications via phone calls, emails, and face-to-face interactions
Assist with tenant recertification procedures, including collecting necessary documentation and updating tenant files
Accurately enter detailed notes into management systems for tenant records, lease alterations, maintenance updates, and other property-related information
Maintain and organize all tenant records, leases, and compliance paperwork digitally and physically, ensuring they are up-to-date and readily available
Handle billing functions and automatic data processing accurately
Respond to and manage inbound calls professionally
Assist with re-credentialing application processes effectively Requirements - Minimum of 1 year of experience in an administrative role
Proficiency in using Management System software
Experience with Billing Functions, including invoicing and account reconciliation
Knowledge of Automatic Data Processing (ADP) systems
Ability to handle Answering Inbound Calls professionally and efficiently
Experience in handling Re-credentialing Application processes
Excellent communication and organizational skills
Ability to multitask and prioritize tasks effectively
High level of accuracy and attention to detail
Strong problem-solving abilities
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) TalentMatch®
