Duties of Employee:
Assist in the scheduling of clients and maintain calendars for counselor and administrators;
Maintain client and business records;
Prepare reports when directed;
Answer and respond to all relevant correspondence via phone, mail, fax, etc. in an appropriate manner (i.e., return calls, write correspondence, etc.);
Ensure all incoming correspondence has been relayed to the appropriate staff
Maintain inventory and purchase supplies
Provide clerical support for counselors and administrators
Maintain and apply all payment processes and documents, receive payments, and provide invoices to clients
Troubleshoot any issues that arise in the day-to-day operations
Address insurance inquiries via a third-party provider
Create and maintain a good working relationship with clients and staff
Operate with minimal supervision in completing assignments
Identify tasks that will help the office function smoothly
Research information when necessary.
Complete time-sensitive tasks despite numerous intervening demands

Required skills and qualifications:
High school diploma or equivalent
Written and verbal communication skills
Strong time-management skills and multitasking ability
Aptitude for learning new software and systems
Comfortable handling confidential information
Preferred skills and qualifications:
Previous experience and success in office management
Experience developing internal processes and filing systems
Hours: Part-time, Monday & Wednesday - 9am to 2pm
Salary: Paid hourly, commensurate with training and experience
