Description We are in search of a Receptionist for our operations in the non-profit sector in Roxbury, Massachusetts, United States. In this role, you will primarily handle administrative tasks and customer service responsibilities, acting as the first interaction point for our organization.
Responsibilities
Managing the first line of communication by answering inbound calls and directing them to the appropriate department or personnel.
Ensuring a high standard of customer service to all visitors and clients.
Taking charge of office supplies by maintaining and restocking as necessary.
Receiving incoming deliveries and organizing or stocking the materials accordingly.
Assisting in the upkeep of files and records, keeping them organized and easily accessible.
Utilizing administrative software, particularly Microsoft Outlook, for managing emails and other correspondences.
Carrying out receptionist duties such as greeting guests and scheduling appointments.
Handling confidential information with the highest level of discretion.
Executing data entry tasks and managing computer data entry systems.
Maintaining a clean and organized office environment. Requirements - Proficiency in answering inbound calls, ensuring clear and effective communication.
Exceptional customer service skills, with a focus on resolving issues promptly and with a detail-oriented approach.
Ability to maintain files, ensuring they are accurate and up-to-date.
Experience with maintaining office supplies, including inventory management and restocking.
Proficient in email correspondence, ensuring timely and detail-oriented responses.
Experience in providing administrative assistance to various departments.
Familiarity with administrative office procedures and operations.
Proficiency in Microsoft Outlook for scheduling, email management, and task organization.
Experience with mail packages, including receiving, sorting, and distributing.
Knowledge of standard receptionist duties, including greeting visitors and directing them appropriately.
Proficient in computer data entry, ensuring accurate and efficient input of information.
Experience in data entry, with attention to detail and accuracy.
