The Executive Administrative Assistant will work directly with senior leaders, such as Senior Vice Presidents, and will be responsible for performing a variety of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.
Flexible Work Policy: The Executive Administrative Assistant position has been segmented as Hybrid, meaning the work is a combination of onsite (Tues, Wed & Thursday) and virtual (Monday & Friday). This position is based out of our corporate headquarters in Rosemont, IL.
ESSENTIAL RESPONSIBILITIES
Serves as primary point of contact to one or more Senior Leadership Team members.
Provides consistent high quality administrative support to assigned senior leaders, using sound judgment in dealing independently with a variety of routine and non-routine problems and situations.
Manages the calendar and daily schedule of assigned senior leaders, ensuring the most efficient use of time.
Serve as a liaison between assigned senior leaders and other key members of management and employees related to Company activities.
Arranges teleconferences and meetings; makes travel arrangements and processes expense reports in a timely manner.
Takes the lead in developing and maintaining efficient filing systems to ensure files are accurately maintained, archived, and readily retrievable
Prepares accurate drafts/final documents from rough copy, proactively identifying any issues, problems or inconsistencies within the material.
Provides support for a variety of department projects and initiatives
Other duties as assigned by manager
RELATIONSHIPS
Internal: Senior Leadership Team, Executive Leadership Team, Leaders and Associates across all functions of the enterprise.
External: Vendors, Contractors, Customers, Prospective Associates
WORK ENVIRONMENT
Hybrid : This role is partially remote, and the associate is expected to perform assigned responsibilities from a combined home-based and office-based environment.
MINIMUM QUALIFICATIONS
Must possess a minimum of 3 years of senior leader administrative assistant experience
Demonstrated ability of interacting with internal and external parties at a senior level, requiring tact, diplomacy and unfaltering confidentiality
Proficient with Microsoft Office applications
Ability to work in a fast-paced environment
Strong planning and time management skills
Excellent interpersonal skills
Excellent written and verbal communication skills
Ability to multi-task under pressure
EDUCATION
High School diploma
PREFERRED QUALIFICATIONS
Bachelor's degree
PHYSICAL QUALIFICATIONS

Compensation depends on relevant experience and/or education, specific skills, function, geographic location, and other factors as applicable by law (for example: state minimum wage thresholds). The expected base rate for this role is between
$24 - $33
