Job Description
The Executive Assistant will be responsible for providing high-level administrative support for the Vice President of Marketing and the Senior Director of Corporate Communications. The role will perform diversified and confidential duties that may be administrative or project-based in nature. Work requires broad and comprehensive experience and skills, and a thorough knowledge of organization policies and practices.
Responsibilities
- Provides day-to-day administrative support such as calendar maintenance, maintaining and tracking agenda items, meeting scheduling, travel, and budget tracking.
- Coordinates the preparation of correspondence, forms, reports, presentation materials and other written communications.
- Provides administrative support and EA coordination for Executive Leadership Team (ELT) communications and events including enterprise-wide emails, quarterly town halls, and bi-monthly webinars, etc.
- Opens, reads, sorts, and analyzes incoming emails, memos, and submissions and distributes them to the appropriate party.
- Provides a bridge for smooth communication between internal departments, demonstrating leadership to maintain credibility, trust and support with senior management.
- Tracks and coordinates with staff to ensure completion of all action items for Executives across a matrix organization.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to Executives, including those of a sensitive or confidential nature; determines appropriate course of action, referral, or response.
- Works closely and effectively with Executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Prioritizes and manages multiple projects simultaneously and addresses issues in a timely manner.
- Provides support to team and leaders on a routine basis, including on-site and virtual team events, daily activities and special projects.
- Shares status updates to leaders by implementing, gathering, and reporting on team and project based metrics.
- Performs other duties as requested or assigned.
Qualifications
- 3+ years of Executive Assistant experience w/ high school diploma.
- Excellent written, verbal and interpersonal communication skills.
- Proficient in Microsoft Office applications and Zoom Workplace.
- Professional approach, good judgment, creative problem-solver.
- Strong critical thinking and analytical skills.
- Ability to maintain confidentiality in a variety of matters.
- Time management with an ability to prioritize tasks; able to multi-task and to manage priorities and workflow.
- Ability to accurately prepare and maintain records, files, and reports.
- Strong collaboration skills and ability to work across a matrix organization.
Base Pay Information
The national base pay range at the end is a good-faith estimate of what Delta Dental may pay for new hires. Actual pay may vary based on Delta Dental's assessment of the candidate's knowledge, skills, abilities (KSAs), related experience, education, certifications and ability to meet required minimum job qualifications. Other factors impacting pay include prevailing wages in the work location and internal equity.
Pay Grade 18. $56,900 - $119,200 national range.
