Job Description
Job Title: Administrative Assistant- Office of Health and Wellness- Atlanta
Pay Grade: D
Job Summary:
Perform a variety of essential administrative support functions/processes in support of an office and related personnel. Will enter and analyze data and/or process documents and records. The work includes operating standard office equipment. Proficiency in using computer software, such as Microsoft Office Suite, accuracy, and attention to detail are crucial to performing assigned job duties. Work is performed under the supervision of the Office of Health and Wellness (OHW) Director of Nursing Services.
Primary Duties and Responsibilities:
§ This position is primarily responsible for supporting statewide data entry and analysis for the Division of Intellectual and Developmental Disabilities (IDD) Office of Health and Wellness (OHW).
§ Using independent judgment and initiative to perform administrative duties in support of IDD programs.
§ Reviewing and adding critical incident reports populated from DBHDD's incident tracking system (IMAGE) into the Developmental Disabilities Clinical Oversight (DDCO) application on a daily basis and entering data into DDCO.
§ Tracking incidents entered in DDCO with pending investigation results and entering results of investigations from IMAGE into DDCO weekly.
§ Maintaining personnel records for all OHW staff statewide.
§ Maintaining data for state hospital transitions in Excel spreadsheets using SharePoint for the Regional Quality Review (RQR) Team.
§ Assisting the OHW Nurse Educator with maintaining training records, ordering training supplies, scheduling training, and preparing training packets.
§ Entering approved hours for Additional Staffing (AS) and second level review data into SharePoint.
§ Entering biweekly Integrated Clinical Support Team (ICST) and monthly provider data into DDCO.
§ Assisting across OHW SharePoint Sites with file management, organization, and uploading of documents.
§ Assisting the OHW Project Manager and Director of Nursing Services with data pulls, data analysis, and quality assurance.
§ Additional duties and responsibilities as assigned.
8:00 a.m. - 5:00 p.m. Monday through Friday
Qualifications:
High School diploma or GED and two years of general office or administrative experience. This position will require a computer skills test and the ability to demonstrate proficiency using computer equipment and Microsoft 365 software.
Preferred Qualifications:
§ Four years of experience in data entry or similar duties
§ Outstanding customer service skills
§ Excellent skills managing confidential files
§ Ability to communicate and write clearly in English
§ Exceptional time management skills and the ability to work independently
§ Proficiency in using computer software, such as Microsoft Office Suite
