Description
We are seeking a motivated and reliable Administrative Assistant to join the team of a well-established construction company. This individual will play a crucial role in supporting project managers, ensuring the smooth operation of the office, and assisting with a wide range of administrative duties across ongoing construction projects.
Responsibilities:
Provide proactive administrative support to project teams by handling communications, scheduling, and documentation.
Maintain and organize critical project files, including blueprints, permits, contracts, and other key documents.
Prepare, review, and process project proposals, change orders, and related documentation in accordance with company and client specifications.
Process invoices and purchase orders for construction materials, subcontractor services, and other project-related expenses.
Coordinate with vendors, subcontractors, and suppliers to ensure timely and accurate delivery of materials and services to meet project timelines.
Assist in the upkeep of safety regulations by maintaining safety logs and documentation in line with compliance requirements.
Support timekeeping functions, including payroll processing for both office and field personnel.
Handle general office tasks such as answering phones, responding to emails, filing, and ensuring a smooth office workflow.
Requirements
At least 2 years of administrative experience, ideally in the construction or trades industry.
Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Familiarity with construction management software (e.g., Procore, Buildertrend, or similar) is an asset.
Ability to manage multiple projects, prioritize tasks, and meet deadlines effectively.
Excellent organizational skills with strong attention to detail and accuracy.
Outstanding communication skills, both written and verbal, to interact with internal teams, vendors, clients, and stakeholders.
