We are looking for a Divisional Administrative Assistant to provide administrative support to multiple Divisional Vice Presidents (DVP) by performing advanced, diversified and confidential administrative duties. JOB DUTIES Manage calendars for DVP's. Schedule appointments, meetings, and conference calls; prepare meeting minutes and reports as needed. Open and route incoming mail; locate and attach related documents requiring the personal attention of the DVP. Administer and maintain national accounts including OfficeMax, Cingular, etc. as directed. Perform general administrative functions such as answering phones, typing, copying, faxing, filing, and other duties as assigned. Field resident and community calls and e-mail correspondence; contact Community Managers to obtain details and forward all information to Regional Vice President (RVP) and/or Divisional Vice President (DVP) for follow-up. Transcribe a wide range of general, confidential and complex letters, memos and reports from digital recording or notes into a written format; ensure proper sentence structure and grammar. Prepare, print, or export various spreadsheets, reports and statements as requested. Copy and file written correspondence, ensuring community files are accurate and complete. Maintain and organize computer files from all correspondence and reports, and transfer to archives when needed. Book travel arrangements for DVP as needed. Obtain information required for project completion by organizing and reporting or delegating as appropriate. Assist DVP with the preparation of resident and community communications such as flyers and notices as requested. Assist with organizing and maintaining the general office area to ensure an efficient working environment. Maintain and review industry publications and memberships. Assist the Acquisition department as needed with welcome letters, rent roll, licensing, etc. Other duties and special projects as assigned. REQUIREMENTS High School Diploma or GED; Associate's degree in Business or related field, preferred Minimum of 3 years experience supporting mid to upper management leaders Minimum of 7 years administrative experience Excellent verbal and written communication skills Strong attention to detail, organizational, and multitasking skills Intermediate to advanced computer proficiency with the ability to use Microsoft Office Suite, email, internet, and provide data entry in a timely and efficient manner BENEFITS At Sun Communities, you will be part of an industry-leading organization where you will be challenged, inspired, rewarded and transformed.
