We are offering a permanent employment opportunity for an Administrative Assistant in the Real Estate & Property industry, located in Glendale, California. As an Administrative Assistant, you will be providing comprehensive support to the Property Manager and operations team, ensuring smooth operations and excellent tenant and guest experiences. Responsibilities:
Offer comprehensive administrative support to multiple departments, including data entry, document management, and report creation
Manage office supply inventory, ensuring adequate stock levels
Maintain a clean and welcoming environment by overseeing general office organization
Handle incoming and outgoing mail, packages, and courier services
Track service contract logs to oversee projects and purchase orders
Efficiently manage incoming calls, emails, and correspondence, ensuring prompt responses to guest inquiries
Prepare documents, reports, presentations, and spreadsheets as required
Assist in planning and organizing events, managing event-related documentation
Handle the work order system efficiently and accurately
Provide backup receptionist support, as needed
Assist the Marketing Manager with tenant engagement and oversee inventory for special events
Organize and maintain storage lease agreements with store and cart tenants
Track and assist with lease compliance issues
Coordinate regular staff meetings and prepare tenant communications and memos.
Requirements - Minimum of 3 years of experience in an administrative role, preferably in the Real Estate & Property industry
Proficient in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
Experience in handling both inbound and outbound calls efficiently
Excellent customer service skills and the ability to manage difficult customer situations
Proven experience in data entry with a high level of accuracy
Experience in managing email correspondence in a detail oriented manner
Ability to schedule appointments effectively, ensuring optimal time management
Excellent verbal and written communication skills
Ability to multitask and prioritize tasks in a fast-paced environment
Proactive problem-solving skills and the ability to work independently
