Job Description
We are seeking a dedicated and customer-obsessed Project Coordinator/Administrative Assistant to join our team at the Executive Briefing Center (EBC) in Redmond, WA. This role is pivotal in managing facility bookings and logistics for customer visits, ensuring a world-class experience for our executive-level guests. The ideal candidate will thrive in a fast-paced environment, possess strong communication skills, and be adept at multitasking and problem-solving.
Responsibilities
Ensure the Executive Briefing Center is customer-ready at all times.
Set up briefing rooms with necessary materials, including printed materials, supplies, and swag.
Greet guests and visitors at the EBC Coordinator Welcome Desk, provide coat checking and luggage storage, and escort them to their briefing rooms.
Assess briefings based on a published checklist and availability.
Coordinate support with internal and external teams and vendors, maintaining relationships to ensure consistent quality of service.
Manage all logistical communication to respective stakeholders.
Maintain briefing supply inventory, organize storage areas, and place reorders when needed.
Ensure drink refrigerators and snack bar are stocked.
Break down briefing rooms after each briefing.
Assist with processes for facility access.
Meet all performance and quality metrics.
Initiate and drive process improvement projects within the department to completion.
Perform additional duties as determined by the EBC lead.
Essential Skills
3 years of experience in a high-volume customer-facing role.
Strong verbal and written communication skills.
Customer service skills with executives.
Ability to manage and prioritize multiple tasks and responsibilities simultaneously.
Excellent organization, planning, and time management skills.
Working knowledge of Microsoft Office Applications.
Ability to work evening overtime as required.
Authorized to work in the US without sponsorship.
Additional Skills & Qualifications
Experience in an executive briefing program, executive engagement, or customer tour program is a plus.
Experience in luxury customer-focused hotels, resorts, or restaurants.
Proven record of cross-team collaboration and ability to influence decision-making.
Creative problem solver.
Experience managing a shared team Outlook inbox.
Experience with Amazon Chime, Slack, and WorkDocs.
BS/BA degree in hospitality, international relations, marketing, or equivalent related experience.
Work Environment
This position is based out of Redmond and requires on-site presence five days a week from 7:30 AM to 4:30 PM PST. The role involves a combination of logistics coordination, concierge services, physical space management, and intake request management. The work environment is dynamic and fast-paced, requiring the ability to communicate effectively across teams and navigate various software tools to ensure seamless logistics and customer experiences.
Pay and Benefits
The pay range for this position is $30.00 - $32.00/hr.
