Ames High School is seeking an Administrative Assistant to the Head Principal. SummaryThe Administrative Assistant to the High School Principal provides high-level administrative support to ensure the smooth operation of the school's office. This role requires strong organizational skills, discretion, and the ability to handle confidential matters while supporting the principal, staff, students, and parents. Work Schedule:Monday-Friday 7:30-4:00, 255 work day calendarResponsibilities/Essential Functions:
Works and communicates with teachers and other personnel, students, parents and the public.
Greets and accommodates visitors, handles incoming telephone calls and takes messages as appropriate.
Remains MEDS certified for administering medications to students/staff.
Maintains office filing system.
Gathers data for and @types correspondence, reports, and schedules.
Maintains records for teachers, attendance, health, and/or those appropriate to the requirements of the office/building.
Orders, distributes and maintains an inventory of supplies.
Maintains budget information and building activity accounts.
Coordinates rental and scheduling of extra-curricular and non-school activities, handles and distributes keys to building and maintains related records.
Maintains student/school activity accounts and monthly financial statements on receipts and disbursements.
Assists in problem resolution in the areas of scheduling, busing, pupil services or other emergency situations.
Contacts and orients substitutes for teaching staff and support staff before school and during working hours as needed.
Acts as substitute for the assistant secretary and attendance secretary as need arises. Fills these responsibilities during summer months.
Prepares monthly payroll reports for all staff.
Maintains a positive working relationship with building and District staff.
Adjunct Duties and Responsibilities:
Observes the designated work hours.
Attends school and District meetings.
Seeks to improve competency by participating in personal and professional growth activities in conjunction with building and District goals.
Plans and coordinates the work of aides and other educational assistants and student teachers (when applicable).
Performs other tasks as assigned.
Qualifications:
High school graduate or equivalent. Post high school education in related field, or the equivalent in experience preferred.
Prefer a minimum of two years of experience as an executive secretary.
The successful candidate will exhibit:
Knowledge of general office procedures and equipment.
Knowledge of office practices and procedures to include recordkeeping, filing, and reporting methods.
Ability to handle confidential work with tact and discretion.
Ability to interact with other staff, students, and the public to obtain and provide information.
Ability to communicate effectively orally and in writing.
Skill in the operation and minor adjustment and maintenance of office machines as job assignments require (i.e. personal computer, calculator, other office equipment).
High standards of ethical conduct and exhibits honesty and integrity.
Commitment to quality service.
High level of initiative, effort, and commitment towards completing assignments efficiently. Works with minimal supervision.
Responsible behavior and attention to detail.
Collaborative team player with a growth mindset.
Observation of all District policies and procedures.
