Basic Function: To provide basic administrative, supervisory, and secretarial services as designated; to assure the smooth and efficient operation of the elementary office so that the office's maximum positive impact on the education of young people can be realized.

PERFORMANCE RESPONSIBILITIES:
Is responsible for all matters involved in the day to day running of the school Office.
Assists with distribution of building communication to students, staff, community, and families.
Answers the telephone, takes messages and follows up with students/staff.
Sorts and distributes mail and maintains postage usage.
Processes building correspondence, letters, announcements, and websites.
Works and communicates with all staff, students, parents, and public.
Handles confidential and routine matters.
Is responsible for daily attendance; telephoning parents of students not in attendance that have not called the school; keeping the Assistant Principal informed regarding attendance, tardy and truancy problems.
Coordinates staff absences and substitutes via electronic system.
Welcomes substitutes and routes them where they are assigned. Assists with seeing that teaching assignments are covered in case of emergency.
Assumes responsibility in the absence of the school nurse and provides limited health care service to students. Administers and maintains daily records of all medications given to students as directed by doctors and or parents/guardians.
Routes families to appropriate registration resources, assists in explaining fees, and updates Infinite Campus information, as applicable.
Supervises the use of and operates the office equipment.
Is responsible for inventory, ordering and distribution of supplies for office/building. Assists electronic ordering process for assigned staff to receive and distribute orders.
In collaboration with district registrar, assists with maintaining accurate student information: addresses and contacts, physicals, waivers, etc.
Maintains enrollment list of students, withdrawals, and additions.
Updates and maintains electronic student records and files.
Is knowledgeable in areas of the Infinite Campus programs.
Assists to maintain and update the student/parent handbook.
Collects money envelopes from students and staff.
Assists with details of student recognition/awards/dinners by preparing certificates and sending parent letters.
Maintains and supervises activity eligibility, bringing to the attention of the coaches those who do not meet minimum standards: academic, school physical and signed waiver. Prepares coaches books with required emergency information.
Assists in the coordination of regular programs and special events.
Assists with graduation details: cap and gown, ordering diplomas, signatures, programs, ceremony etc.
Assumes such other duties and responsibilities as assigned.
Specifications/Qualifications:1. High School Diploma
Computer skills (Google, Excel, Infinite Campus, Word, Office)
Good customer service skills (liaison between Principal, Staff, Students, Public)
Multi-line phone use
Technology operation (copier, fax, printers, badge printers, etc)
Monitor intercom/bells for building
General knowledge of filing
Confidentiality
Physical Requirements: Bending, carrying, climbing, driving, lifting, pushing-pulling,
reaching, sitting, standing, walking.
Working Conditions: 1. Hazards include stairs and communicable diseases.
