Job Summary
We are actively seeking an organized and detail-oriented Accounting Assistant for a Manhattan-based Plumbing firm. The ideal candidate will have a minimum of 5-7 years’ experience in accounting and be responsible for managing all aspects of our accounting processes. Construction experience and advanced proficiency in QuickBooks & MS Office (Outlook, Word, Excel) is required. This individual must be a team player and possess strong attention to detail along with excellent time management and task prioritization skills.
Duties
- Manage day-to-day accounting functions, including accounts receivable and accounts payable, to ensure that the financial records are complete and accurate.
- Create customer invoices, process vendor bills and online payments in a timely manner.
- Communicate with customers and vendors via phone, email, or mail in a direct and timely fashion.
- Follow up on A/R, collect and allocate payments, call delinquent accounts for payments on a regular basis.
- Send payment reminders and account statements to customers.
- Set up new contacts, review and process contracts, change orders, waivers, and insurance certificates.
- Track job costs and revenue for individual jobs to determine profitability.
- Prepare monthly and quarterly Sales and Use Tax Returns.
- Assist with weekly payroll entry and prepare certified payroll reports.
- Interact with internal and external auditors; providing all necessary documentation for periodic accounting, union, and insurance audits.
- Handle NYC Department of Buildings, NYC Department of Environmental Protection and NYC Fire Department requirements (filing forms, obtaining/setting inspections, and finalizing sign offs of permits).
- Perform other related duties as required and assigned, assist office personnel with workload as necessary.

- Strong attention to detail and level of accuracy with the ability to multitask efficiently.
- Excellent organizational skills, ensuring timely completion of tasks within deadlines.
- Ability to set priorities and maintain a functional work environment.
- Ability to work independently, as well as part of a team, with effective verbal and written communication skills.
- Excellent typing, spelling, grammar and math skills required.
- Capable of spotting and resolving discrepancies.
