Description We are offering a short term contract employment opportunity for an Administrative Assistant in Metairie, Louisiana. The work in this role is centered around administrative tasks within a legal framework. As an Administrative Assistant, your main focus will be on handling legal documentation, updating internal and external systems, and ensuring detail-oriented communication through various platforms.
Responsibilities:
Efficiently process and organize legal documentation, including sorting, scanning, categorizing, and digital filing.
Update both internal and external client systems within set timeframes.
Handle assigned work queue items promptly and within the specified timeframes.
Understand and retain basic legal concepts and terminology to ensure the production of accurate work.
Prepare various items required for court appearances.
Review incoming documents and distribute them to the correct parties.
Ensure detail-oriented communication through various platforms such as phone, email, and internal/external messaging systems.
Complete all assigned training in the Firm Learning Management System.
Carry out additional duties as assigned. Requirements - Proficient in answering inbound calls, demonstrating effective communication skills.
Strong customer service abilities, providing excellent service to internal and external customers.
Demonstrable experience in data entry, ensuring accurate and timely input of information.
Ability to manage email correspondence professionally and efficiently.
Experience with both inbound and outbound calls, maintaining a high level of professionalism.
Proficient in Microsoft Excel, capable of creating and managing spreadsheets.
Skilled in using Microsoft Outlook for email management, scheduling, and task organization.
Proficient in Microsoft PowerPoint for creating impactful presentations.
Skilled in using Microsoft Word for document creation, editing, and formatting.
Ability to schedule appointments accurately and efficiently, managing multiple calendars if necessary.
