Oversee the publication of PIP's 575+ Engineering Practices. Track new and revised Practices from development through distribution and report on the production schedule. Communicate with Function Team Leaders and key contributors to understand current work processes, identify areas to improve efficiency, and help implement process enhancements. Supervise editorial staff.Attend PIP quarterly meetings and Annual Conference in-person. Serve as representative of PIP administrative staff and internal operations. Participate as a non-voting member on assigned PIP teams and committees, keep abreast of issues and topics, and participate in discussions. Offer administrative support to PIP Function Teams and Committees. Prepare presentations and reports for use by PIP Director. Attend interim virtual PIP meetings, as required.Responsible for administrative support services. Relieve the Director by managing day-to-day operations of the PIP Office to ensure compliance with University policies. Coordinate annual space allocation and equipment inventory. Perform miscellaneous administrative tasks and other duties as assigned. Attend staff and other internal meetings. Complete professional development and training, as requested.Establish a quality control process to ensure editorial consistency. Audit published Practices for accurate listing on the PIP website and third-party distributor websites.Oversee PIP systems administration in support of developing and delivering PIP Practices. Facilitate system enhancements and application improvements. Negotiate related contracts and service agreements to ensure proper execution per University guidelines. Monitor data integrity and record-keeping. Maintain all equipment and software licenses. Supervise Systems Administration staff.Oversee PIP accounting, purchasing, budgeting, and expense analysis. Review and approve vouchers, purchase orders, and contracts. Review monthly account reconciliations and perform expense certifications. Develop annual operational budget with input from the Director for approval by the Finance Committee. Assist with QuickBooks and DEFINE data entry as needed. Supervise accounting staff.Coordinate with Function Team Leadership to assess needs and obtain resources for each team. Recruit volunteers from member companies for leadership positions. Enlist retiring volunteers as PIP Emeritus. Secure technical consultants and CAD providers as needed. Process related annual contracts and monthly invoices. Track and report on expenses.Performs other related duties as assigned.
