Description We are offering a long-term contract employment opportunity for an Administrative Assistant in Palm Desert, California. This role is pivotal in ensuring smooth operations within our non-profit organization. The Administrative Assistant will be tasked with maintaining accurate records, managing invoices, and providing exceptional customer service.
Responsibilities:
Handling and directing inbound and outbound calls to the appropriate parties.
Utilizing Microsoft Excel to develop spreadsheets, conduct data analysis, and generate reports.
Accurately processing and managing invoices, ensuring payments are made in a timely manner and discrepancies are resolved.
Acting as the point of contact for vendors, contractors, and other external stakeholders, addressing inquiries, and resolving issues to maintain positive working relationships.
Preparing clear and concise email correspondence with a keen attention to detail, ensuring accuracy and professionalism.
Delivering outstanding customer service to both internal teams and external partners, managing inquiries and requests with a positive and proactive attitude.
Supporting general administrative tasks, including data entry, scheduling, and office organization.
Utilizing Microsoft Office Suite, particularly Microsoft Word and Outlook, for various administrative tasks. Requirements - Minimum of 2 years of experience in an administrative role within the non-profit sector
Proven ability to handle inbound and outbound calls professionally and efficiently
Strong customer service skills with a dedication to providing exceptional service
Proficient in data entry with attention to detail and accuracy
Experience with email correspondence, demonstrating excellent written communication skills
Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
Ability to multitask and prioritize in a fast-paced environment
Demonstrated organizational skills and ability to manage multiple tasks simultaneously
Strong interpersonal skills, with an ability to interact effectively at all levels of an organization
