ABOUT THIS POSITION: This position supports the Department of Family Services (DFS), Division of Children, Youth and Families (CYF). We invite you to learn more about DFS and its Mission, Vision, and Values, by clicking here. Under general supervision of the program managers, the duties and responsibilities include the following:
Serves as the primary support for Children, Youth, and Families (CYF) Record Requests, including complex administrative functions with time-sensitive responses to community members. Determines, reviews, and modifies administrative policies, procedures, and methods to improve practices within the Child Protective Services (CPS) and Protection and Preservation Services (PPS) program areas. Manages the administrative processes, including assisting with the implementation of policies and procedures and coordinating and communicating with other programs within the division.
Illustrative Duties:
Receives and responds to CYF record requests in accordance with the Virginia Freedom of Information Act (FOIA), the Code of Virginia or Virginia Administrative Code (VAC), and the Government Data Collection and Dissemination Practices Act or VAC provision.
Works with a team to communicate with requestors using a shared inbox, ensures that requests are valid, and enters requests into a shared record log.
Searches and reviews CYF systems for records pertaining to the request, pulls the records, and enters them into a shared system for redactions.
Once redactions are completed, pulls the redacted records and enters them into multiple systems for dissemination and storage.
Ensures all information for each step is logged and reconciled.
Uses independent judgement to manage competing priorities and solve routine problems.
Maintains current knowledge of county policies and procedures.
Supports training for administrative staff across the division.
Serves as the administrative assistant to the program managers for CPS and PPS.
Note: The assigned functional areas for this position are scheduling & coordination, communication, office management, and/or receptionist/public contact.
Employment Standards
MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and three years of experience providing administrative support in the assigned functional area(s).
CERTIFICATES AND LICENSES REQUIRED:
None.
NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background and a Child Protective Services check to the satisfaction of the employer.
PREFERRED QUALIFICATIONS:
Bachelor's Degree
Four years of front-line administrative and customer service experience supporting staff in a Human Services environment.
Experience with Microsoft Applications (i.e. Word, PowerPoint, Excel, and Outlook) and enterprise systems such as SAP, OASIS, Electronic Management Systems, etc.
One year of supervisory experience of staff.
Demonstrated strong writing and grammar skills
PHYSICAL REQUIREMENTS:
Duties are generally sedentary and performed in a normal office environment. Ability to communicate clearly and concisely, both orally and in writing and use automated technology. Sufficiently mobile to deliver mail, messages and records, and to attend meetings offsite as well as supervise offsite staff. Sufficiently mobile to travel outside the office and to set up rooms and materials for meetings. All duties performed with or without reasonable accommodations.
