Job Title: Operations Administrative Assistant
Job Description
Provide administrative support to the Leadership team, with a focus on supporting all functions in a manufacturing environment.
Responsibilities
Create and maintain all non-stock purchase requisitions adhering to purchase order compliance. Set up new vendors in SAP system when required. Review open purchase orders on a regular basis to maintain PO data accuracy.
Maintain daily, weekly and monthly productivity reports. Run required reports for managers when necessary. Check weekly for shift/day record runs.
Compose and @type routine correspondence and spreadsheets, organize and maintain file system, conduct research and compile and @type statistical reports.
Complete process for soliciting employees for weekend overtime, verifying eligibility, and posting overtime requirements weekly.
Maintain attendance points records for plant employees on a weekly basis and issue corrective action forms for point violations.
Verify eligibility for perfect attendance bonus on a quarterly basis for plant employees and maintain perfect attendance records. Enter perfect attendance requests into employee's timecards and update balances accordingly.
Maintain record of employees' eligibility for company service awards. Order gift cards for those eligible and make gift available for supervisors and managers to award to employees on a timely basis.
Make travel reservations in Concur for employee travel. Create expense reports as needed in Concur for T&E card purchases.
Code invoices in OnBase with proper cost centers and general ledger codes.
Arrange lunches for meetings, interviews, etc. as required. Arrange catering for company events such as summer barbecues and ice cream days, etc.
Assist employees and visitors both over the phone and in-person. Provide answers and guidance for their concerns.
Orders and maintains supplies for office and plant and arranges for equipment maintenance. Maintain supplies for Ricoh printers throughout the plant and arrange for repairs when needed.
Allocate purchasing card expenses in a timely manner to the correct cost center and general ledger accounts.
Create IT requests and prepare office spaces for staff new hires.
Comply with all Company policies and procedures.
Other duties as assigned.
Essential Skills
5 years of administrative experience is preferred; will consider a strong candidate with less.
Experience using an ERP system is preferred, SAP is ideal but not required.
Intermediate user of Excel (good with formulas and cell manipulations); Lookups/Pivots are preferred.
Experience with OnBase is preferred but not required.
Experience with Concur is preferred but not required.
Ability to multi-task.
Sense of urgency.
Strong attention to detail.
Good communication skills; both written and verbal. Comfortable communicating with all level of employees.
Work Environment
Office/cubicle environment. Flexible hours: Monday to Friday, 7am/8am - 4pm/5pm (8-hour days).
Pay and Benefits
The pay range for this position is $31.25 - $31.25/hr.
