Description
We are in search of an Administrative Assistant to join our team located in Overland Park, Kansas. This role will revolve around providing clerical and administrative support within an architectural firm. The Administrative Assistant will be responsible for managing various aspects of administrative tasks, facilitating the smooth operation of the department. This position offers a short-term contract employment opportunity, with possibility of long-term or contract to hire.
Responsibilities:
Accurately process data inputs and updates into various databases, spreadsheets, and digital systems
Coordinate and manage team and consultant site visits for clients
Respond to and resolve administrative inquiries and questions
Manage team access to the client portal and project management system
Retrieve information as requested from records, emails, and other related documents, preparing written summaries of data when needed
Maintain filing systems as assigned
Run weekly reports for projects and distribute them to the team
Update project schedules in the client portal and internal project management system
Organize the distribution of plans to AHJs for permit submittal
Facilitate the submittal and review process with the internal project team
Handle the change orders process with the client, submit, track, and distribute approvals to internal and external stakeholders.
Requirements - Possess strong skills in answering inbound calls, ensuring clear communication and resolution of queries.
Demonstrate excellent customer service skills, building and maintaining positive relationships with clients.
Proficient in data entry, maintaining accuracy and efficiency in processing information.
Skilled in email correspondence, ensuring detail oriented and timely communication.
Must be proficient in Microsoft Excel, creating and maintaining spreadsheets and databases.
Experience using Microsoft Outlook for email management, calendar scheduling, and task management.
Proficient in creating presentations using Microsoft PowerPoint.
Ability to create, edit, and format documents using Microsoft Word.
Experience in scheduling appointments, coordinating meetings, and managing calendars.
Knowledge of Bluebeam Revu, demonstrating ability to review and edit project plans and documents. TalentMatch®
