Job Title: Administrative Assistant
Job Description
We are seeking a diligent and organized Vendor and Supplier Management Specialist (Administrative Assistant) to join our dynamic team. This role involves managing trade partner relationships, ensuring compliance, and supporting contracting processes. The ideal candidate will have strong attention to detail, excellent time management skills, and the ability to convey complex information clearly.
Responsibilities
Collect and submit required insurance documentation from suppliers and vendors through standardized outreach processes.
Evaluate vendor/supplier insurance compliance status using semi-automated reporting processes.
Identify process improvement opportunities and support their implementation as needed.
Manage time efficiently to execute workload.
Recognize situations requiring escalation, such as repeated deficient documentation or credit holds.
Support the creation of new supplier/vendor agreements and review submitted documents for completeness.
Regularly review and update system data for accuracy.
Utilize systems for the creation and management of contracts.
Manage trade partner setup and management through the vendor portal.
Process requests from field partners and offices to change vendor/supplier hold status.
Update vendor/supplier data through Service Now.
Essential Skills
Proficient in document control and administrative support.
Strong knowledge of Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel).
Excellent verbal and written communication skills.
Strong attention to detail and organizational skills.
Ability to manage vendor contracts and collect certificates of insurance.
Experience with document management, contract management, and supplier management.
Familiarity with DocuSign, medical records, legal assistance, and insurance verification.
Additional Skills & Qualifications
Spanish bilingual is a plus.
Experience in data entry and maintaining data integrity.
Strong analytical skills.
Work Environment
This position is onsite with hours from 9 AM to 6 PM, Monday to Friday.
Pay and Benefits
The pay range for this position is $20.00 - $20.00/hr.
