POSITION: GENERAL MANAGEMENT ASSOCIATE, THE OFFICE PERFORMING ARTS AND FILM

Bookkeeping:
- Process accounts payable invoices and contract payments in bill.com and Gusto for THE OFFICE and its subsidiary company, Thrilled and Delighted LLC.
- Manage vendors in bill.com; update bank and address information as necessary and manage data sync with QBO.
- Manage customers in QBO; create invoices in multiple currencies and communicate with clients/presenters professionally.
- Work with the GM and OFFICE teams to gather and organize necessary documentation for all T&D and OFFICE contractors/vendors, including but not limited to contracts, W-9’s, COI’s, Direct Deposit authorizations, invoices, W-8BEN/W-8BEN-E’s etc.
- Send recurring monthly accounts receivable invoices for regular clients through QBO. - Send invoices for theatrical productions according to contract schedule, including final reconciliation invoices with all receipts.
- Lead Central Withholding Agreement processes to assist with withholding reductions for international performers:
- Ensure timely filings needed for international productions in tandem with our CWA firm
- Gather passports, performer agreements, generate spreadsheets with all income/royalties/per diem listed
- Assist international performers with using Sprintax Return software and distribution of 1042 forms
- Prepare international performer withholding payments for the GM to process in the EFTPS system and track within Sprintax/internally
- Assist with general bookkeeping, coding, and reconciliation as requested by the GM team.
- Assist with 1099 filings annually and receipt compilations
- Code out payroll for THE OFFICE and T&D each month.
Administration:
- Check office supplies bi-weekly and order any needed items for each including ordering office supplies and water delivery.
- Check mail daily/at least once a week at our West Village office, and scan/send any actionable items to the General Manager.
- Preparing & mailing physically required documents as requested.
- Organize and manage the coming and going of storage items; coordinate with Producers to put together production boxes using materials on hand; ordering additional supplies as needed.
- Coordinate purchasing of any office furniture or office item as requested. - Assist with managing softwares used by THE OFFICE and adding/removing people as necessary
- Maintain and optimize all office utilities, software, and marketing subscriptions. - Assist with overall drive management and storage for the GM team. File all important finance/correspondence from OFFICE vendors in the finance drive (state tax payroll notices, disability info, healthcare/utility bills).
- Provide administrative backup support to the GM team members in general when requested/as necessary
REQUIRED SKILLS:
- Superb written and verbal communication skills.
- Self starter attitude, able to research and problem solve with minimal oversight. - Previous experience with contractor onboarding and offboarding processes (gathering appropriate docs, ensuring information is filled out correctly on W-9, direct deposit auth, COIs).
- Detailed oriented.
- Organizational and time management skills. Capable of prioritizing and handling multiple tasks at the same time and managing your own schedule around important due dates. - 2-3 years of experience with Quickbooks Online/general bookkeeping experience, especially with invoicing for domestic and international customers, running reports, creating journal entries, using Class reporting, and reconciliation processes. - Previous experience filing 1099s and assisting with end of year tax filings. - Familiarity with ADP and Gusto payroll platforms
- Expert knowledge of excel and google sheets platforms (used daily)
- Previous experience with Microsoft and Google Suite applications, Monday.com, and bill.com.
- Previous experience with Central Withholding Agreements and international theatrical touring processes a major plus
- Experience with Sprintax/international theatrical tours a major plus.
