Description
We are seeking an Administrative Assistant for a 3-6 month contract employment opportunity in Union City, California.
As an Administrative Assistant, you will be responsible for various administrative and clerical tasks. Your main duties will include supporting field inspectors, data entry, basic math calculations, visitor reception, and mail processing.
This role is 100% onsite, Monday to Friday, 40 hours per week in Union City, California and is within the public utilities sector.
Responsibilities
Handle and process customer requests efficiently and accurately
Respond to and resolve customer inquiries promptly
Support staff members with administrative tasks, data entry and correspondence, and take necessary actions when needed
Receive, screen, and direct visitors in a detail oriented manner
Sort and distribute incoming mail and process credit card payments for various district invoices
Assist with recruitment processes and activities in the Human Resources department
Modify, add, or update security access for employees and vendors as necessary
Conduct data entry tasks for Environmental/Industrial Compliance Inspection Report (ICIR) and FOG Inspection Report, including printing and filing
Manage SharePoint Page and perform other general administrative duties.
Requirements
Proficiency in answering inbound calls in a detail oriented and courteous manner
Experience with detailed data-entry work, such as financial, environmental or scientific reporting is preferred
Strong customer service skills, with the ability to handle inquiries and complaints effectively
Experience in data entry, ensuring accuracy and efficiency
Proficient in email correspondence, responding promptly and detail oriented to internal and external communications
Experience in handling both inbound and outbound calls, maintaining a high level of detail orientation
Expertise in Microsoft Excel, using the tool to manage, analyze, and visualize data
Proficiency in Microsoft Outlook, managing email communications, appointments, and task scheduling
Skilled in Microsoft PowerPoint, able to create engaging presentations
Proficient in Microsoft Word, creating and editing documents with precision
Ability to schedule appointments, managing time effectively to ensure smooth operations.
