Description We are looking for an experienced Administrative Assistant to join our team in Westlake Village, California. This Contract position is ideal for a highly organized individual who thrives in a collaborative environment and enjoys providing excellent support in both administrative and customer service roles. The role includes opportunities to work with design tools and contribute to branding efforts, making it a dynamic and engaging position.
Responsibilities:
Respond promptly to customer inquiries via phone and email, ensuring a high level of satisfaction and professionalism.
Identify and implement opportunities for improving operational processes to enhance team efficiency.
Collaborate with various internal departments to address client needs and deliver proactive solutions.
Create and refine print-ready materials and digital designs using Adobe Illustrator and Canva.
Maintain consistency in branding across all design assets and marketing materials.
Oversee print production tasks, including file preparation, formatting, and vendor coordination.
Stay updated on design trends and software innovations to improve visual quality and workflow.
Perform general administrative tasks, such as scheduling appointments, data entry, and email correspondence.
Support inbound and outbound communication efforts, ensuring timely and accurate information exchange.
Utilize Microsoft Office tools such as Excel, Word, PowerPoint, and Outlook to complete daily tasks efficiently. Requirements - Minimum of 3 years of experience in administrative or customer service roles.
Proficiency in handling inbound and outbound calls with professionalism and clarity.
Strong skills in data entry and email correspondence.
Experience with scheduling appointments and managing calendars.
Advanced proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
Familiarity with design tools such as Adobe Illustrator and Canva is highly preferred.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
