CHIEF OBJECTIVES OF THIS POSITION

The Bookkeeper is responsible for consistently and accurately recording and maintaining our business’s financial transactions, including purchases, expenses, sales revenue, invoices, and payments. A thorough knowledge of QuickBooks is essential for this role.

The focus of this job is on producing high-quality, detailed work based on established standards, guidelines, and procedures. Precise, consistent work output is essential, requiring patience and a willingness to handle and complete one task at a time. The job environment is stable, based on known relationships with people and well-defined processes. Job knowledge and competency are built through structured step-by-step training and positive, supportive coaching from management and peers. Communication with others is based on knowledge of repetitive job routines and procedures gained from sufficient on-the-job experience. Consistent, error-free work based on defined regulations and standards are key measures of job performance success. The job environment promotes steady, methodical work output so that job routines can be completed on time and error-free. This position is designed to develop a valued technical expert, who, recognized and supported by management and a stable work environment, can deliver quality work consistently.

General Responsibilities:

Enter purchases and match them to purchase orders.
Enter expenses and categorize them appropriately.
Record revenues from sales invoices generated by the Sales and Production teams.
Monitor daily receipts and apply them to client receivables.
Record daily bank account activity and reconcile each account.
Produce daily management reports, including cash flow, job status, accounts receivable, and accounts payable reports.
Prepare internal management reports to analyze operating results.
Generate reports for financial statements, tax returns, and bank compliance.
Enter revenues and match them to appropriate income accounts.
Enter invoices and payments, matching them to job codes.
Follow up with clients to ensure payments are made under terms.
Generate and send invoices to clients via email or upload to client portals.
Produce accounts payable reports, analyze them for accuracy, and prepare proposed payment approvals.
Prepare and file sales tax payments through the New York State website.
Assist the Accounts Payable Clerk in coordinating purchase orders with the Purchasing team, matching bills, and posting them in the system if necessary.
Support payroll-related tasks as needed.
Process 401(k) payments to the third-party provider.
Report discrepancies in financial reports to the Director of Finance and process journal entries with management approval.

Your Qualifications and Experience:

3 + Years Experience in a similar role
Knowledge of basic accounting principles and QuickBooks software
An associate degree in accounting or finance is preferred
QuickBooks Online certification - a plus
Understanding of accounting best practices
Your skills in data entry are highly accurate
You have a track record of continual learning and improvement throughout your career
A genuine team player with a strong desire to help others

High attention to detail; stellar time management and organization skills
Ability to navigate ambiguity and problem-solve independently without sacrificing the quality of work
Proven success in communicating effectively and building strong, trusted relationships within diverse groups
