We are looking for a highly skilled Executive Assistant to provide comprehensive administrative support to our Executive Team This role is ideal for someone who thrives in a dynamic environment, excels at multitasking, and is committed to maintaining high standards of discretion and professionalism. Based in Plano, Texas, this position offers a hybrid work schedule and the opportunity to collaborate closely with leadership while managing day-to-day operations effectively.
Responsibilities:
Deliver high-level administrative assistance to the Executive Team, ensuring tasks are prioritized and completed efficiently.
Coordinate and schedule complex meetings across multiple time zones, ensuring seamless participation and productivity.
Prepare, review, and reconcile expense reports, adhering to company policies and maintaining accuracy.
Create and analyze reports, presentations, and spreadsheets, while conducting research to support ongoing projects.
Manage travel arrangements, including booking accommodations and overseeing executive schedules for optimal organization.
Collaborate with IT, property management, and other departments to ensure smooth workflow and operational efficiency.
Organize company events, meetings, and fulfill special requests with attention to detail.
Monitor and manage office supplies and equipment to maintain a well-functioning workspace.
Support training programs and assist with onboarding new members of the Executive Team.
Perform additional duties as required to support leadership and office operations.
Requirements - High school diploma required; an Associate's or Bachelor's degree is strongly preferred.
At least 5 years of administrative or office support experience, with a minimum of 2 years as an Executive or Administrative Assistant.
Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
Advanced organizational skills with the ability to handle multiple priorities in a fast-paced setting.
Excellent written and verbal communication skills, coupled with strong leadership and adaptability.
Demonstrated professionalism and discretion in handling sensitive information.
Familiarity with tools such as Concur and expertise in managing expense reports and Excel formulas.
