Description We are looking for a meticulous and proactive Office Executive Administrative Assistant and Accounting Clerk to join our team in Arlington, Texas. This role involves providing high-level administrative support to executives, managing office operations, and performing essential accounting tasks. The ideal candidate will possess excellent organizational skills, maintain confidentiality, and demonstrate the ability to multitask effectively in a dynamic environment.
Responsibilities:
Provide comprehensive administrative support to C-suite executives, including managing schedules, coordinating meetings, and organizing travel arrangements.
Prepare, proofread, and format documents, reports, and presentations for internal and external use with precision and accuracy.
Serve as the primary point of contact for visitors, ensuring a welcoming and organized front office environment.
Maintain office supplies and oversee the organization of meeting rooms and common areas.
Perform data entry tasks related to invoices, purchase orders, and expense reports with accuracy and attention to detail.
Assist with accounts payable and accounts receivable processes, including reconciliations and record keeping.
Support month-end and year-end accounting processes by collaborating with the finance team.
Utilize software tools such as QuickBooks and Excel to maintain accurate financial records.
Act as a liaison between executives and stakeholders, fostering effective communication and collaboration. Requirements - Minimum of 2 years of experience in administrative support, executive assistance, or reception roles.
Basic understanding of accounting principles and prior experience handling accounting tasks.
Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Familiarity with accounting software such as QuickBooks is highly desirable.
Exceptional organizational and time-management skills to handle multiple tasks efficiently.
Strong communication skills, both verbal and written, with a detail-oriented approach.
Ability to maintain confidentiality and demonstrate a high level of integrity.
Experience managing calendars and coordinating travel arrangements is preferred.
